As a Senior Meeting & Events Specialist, you are the main contact person for our clients during the planning and coordination phase of their events.
This is a senior, office-based role, focused on sales coordination, client communication, and event preparation – not an operational or on-the-floor position.

You ensure that every event is perfectly organized – from the first inquiry to the final handover to our dedicated F&B team, led by the F&B Manager, who takes care of the execution.
After the event, you reconnect with the client for after-sales and evaluation, gathering feedback and maintaining strong relationships for future business.

📋 This position reports directly to the Groups Meetings & Events Manager.
In the absence of the Groups Meetings & Events Manager, you ensure the smooth running of the Meetings & Events department.

Your Key Responsibilities

1. Handling and booking group reservations and meeting spaces;

  • Manage event inquiries via the reservations system, ensuring optimal occupancy and revenue;
  • Handle requests for group bookings, meetings, conferences, and corporate dinners;
  • Conduct sales calls and assess client needs, preferences, and budgets;
  • Advise clients on hotel facilities, services, and pricing options;
  • Prepare and send out accurate proposals;
  • Process confirmed bookings in the reservation system.

2. Following up on offers and booking adjustments;

  • Follow up on pending proposals and options within the set deadlines;
  • Arrange site inspections and guided tours for potential clients;
  • Prepare and manage contracts, deposits, and event details;
  • Handle booking changes such as cancellations, menu adjustments, or rooming lists;

3. Coordination with operational departments;

  • Prepare and distribute function sheets;
  • Communicate event details and special requirements to the F&B and operational teams;
  • Handover finalized details to the F&B team led by the F&B Manager;
  • Participate weekly meetings when needed in absence of the Meeting & Events Manager.

4. During and after the event;

  • Attend major or high-profile events when required, supporting the team and welcoming client contacts;
  • Conduct post-event follow-up and after-sales communication;
  • Record client feedback and identify improvement opportunities.

Requirements;

  • You have 2 to 3 years of experience in a similar Meetings & Events or Group Sales role, ideally within the hotel industry;
  • You are commercially minded, organized, and proactive;
  • You can manage multiple projects simultaneously and work accurately under pressure;
  • You have excellent communication skills in English (written and spoken); Dutch language skills are a plus, but not required;
  • Experience with a hotel reservation system is a plus!;
  • You thrive in a corporate environment and understand the needs of clients.;
