What does an accounts payable employee do?

An accounts payable employee is responsible for processing and managing the invoices a hotel receives from suppliers and other business partners. You make sure invoices are checked, recorded correctly and paid on time. This makes accounts payable an important part of a hotel's finance department.

Hotels work with a wide range of suppliers, from food and beverage distributors to maintenance companies, technology providers and other service partners. As an accounts payable employee, you help ensure that these financial transactions are processed accurately and that discrepancies are resolved before payments are made.

Accounts payable is part of the broader hotel finance operation. If you want to explore other financial positions as well, take a look at all accounting jobs in the hospitality industry.

Accounts payable responsibilities

The exact responsibilities depend on the size and structure of the hotel or hotel group. In larger organisations, accounts payable may be a specialised finance position. At smaller hotels, invoice processing and supplier payments may be part of a broader accounting role.

Common accounts payable responsibilities include:

  • receiving, checking and processing supplier invoices;

  • matching invoices with purchase orders and other documentation;

  • preparing and processing payments;

  • monitoring payment deadlines;

  • reconciling supplier accounts and statements;

  • investigating and resolving invoice discrepancies;

  • maintaining accurate financial and supplier records;

  • supporting month-end and year-end closing procedures.

You may also communicate directly with suppliers about invoices and payments and assist the finance team with reports and financial controls.

Accounts payable vs. accounts receivable

Accounts payable and accounts receivable are closely connected, but they cover opposite sides of a hotel's financial administration. Accounts payable focuses on money the hotel owes to suppliers and other business partners. Accounts receivable focuses on money that guests, corporate clients and other customers owe to the hotel.

If you prefer working with customer invoices and incoming payments, take a look at the available accounts receivable jobs. For broader financial administration positions, you can also explore accounting employee jobs.

What skills do you need for accounts payable?

Accuracy and attention to detail are essential in accounts payable. You may process a large number of invoices and payments, so financial information needs to be recorded correctly. You should also be able to identify discrepancies and follow up when information on an invoice does not match the hotel's records.

Employers often look for candidates with:

  • strong numerical and analytical skills;

  • attention to detail and accuracy;

  • experience with accounting or financial administration;

  • knowledge of Excel and financial software;

  • good organisational and time-management skills;

  • professional communication skills;

  • a good command of English and, depending on the hotel, Dutch.

Experience in accounts payable or accounting can be an advantage, but junior positions may also be available for candidates who want to develop their career in hotel finance.

Working in accounts payable at a hotel

Working in accounts payable within the hospitality industry means dealing with a wide variety of costs and suppliers. Hotels purchase everything from food, beverages and guest amenities to cleaning products, maintenance services and technology. This creates a diverse flow of invoices that needs to be processed accurately.

You may work closely with departments such as purchasing, food & beverage, housekeeping and operations to verify invoices or resolve discrepancies. In larger hotel groups, accounts payable may be centralised, meaning the finance team processes invoices and payments for several hotels.

Career opportunities in accounts payable

An accounts payable position can be a good starting point for a career in hotel accounting. You gain practical experience with invoice processing, payments, reconciliations and financial systems while developing an understanding of the financial operation of a hotel.

With more experience, you can move into a broader accounting position or take on additional responsibilities within the finance department. Possible next steps include supervisory, controlling or finance management roles.
