Job Description:

As a Sales & Relationship Coordinator, you are responsible for building and maintaining valuable relationships with various Japanese stakeholders, including companies, the Japanese embassy, travel agents, and the Japanese Chamber of Commerce. You serve as the first point of contact for customer and guest complaints, ensuring they are handled professionally. When necessary, you escalate issues to the appropriate departments to ensure excellent service.

You will also work closely with the Guest Relations department to coordinate VIP stays and the welcoming of Japanese guests, ensuring they enjoy an exceptional experience at Hotel Okura Amsterdam.

You play an active role in managing reservations, including hotel rooms, transfer services, restaurant bookings, boat tours, and meeting facilities—always striving to provide personalized and luxurious service that meets the high standards of our hotel. It’s also essential that you prepare documents in Japanese, such as menus and local information about Amsterdam, so that our Japanese guests feel well supported.

In addition to the relationship-building aspects of the role, you will support the sales team with administrative tasks. This includes preparing reports and presentations, managing logistics such as office supplies and sales materials, and organizing commercial events. You will also be responsible for data entry in systems, compiling performance and sales reports, and analyzing markets and competitors to stay updated on trends in the luxury hospitality sector. Moreover, you will collaborate with the marketing team to coordinate promotional materials and campaigns aimed at boosting sales across different market segments.

What do we expect from you?

• Fluent in both Japanese (business level) and English, spoken and written.
• Knowledge of Japanese business culture and the ability to communicate effectively with Japanese contacts.
• Strong organizational skills and attention to detail.
• Experience in customer and relationship management, preferably in the hospitality sector.
• Flexible, independent, and a team player with a proactive attitude.
• Proficient in MS Office and skilled in preparing reports and documents.
• Knowledge of the hotel industry is a plus.
